Digitization of the contract conclusion process in Triglav osiguranje

Implementation of ITS Advanced Signature Service

Triglav osiguranje d.d. (Triglav Insurance Company) is a part of the Triglav Group, the largest insurance and financial group in Southeast Europe. It has been present at the Croatian market since 1967 and with a tradition of more than 50 years rightly bears the epithet of one of the oldest insurance companies in Croatia. Triglav osiguranje’s business network consists of approximately 70 sales offices and over 520 employees. It provides a complete and timely insurance service – from concluding non-life and life insurance policies, to claims payments.

Electronic signing in branch offices

As early as 2019, Triglav osiguranje recognized the advantages of electronic signing and decided to introduce an electronic signing system at points of sale. As part of the project, integration with existing CORE applications and Document Management system (DMS) was made.

After implementation, agents start using signature screens or Android devices to sign documents. In addition, they no longer have the obligation to scan the documentation, but immediately after the client’s signature, it is stored in the DMS and ready for control at the regional cash registers. In addition to minimizing the need for paper circulation, the process of approving insurance policies has become faster and more transparent, and significant savings have been made.

Remote signing - the only option

Due to the COVID-19 virus pandemic and the situation in which leaving the security of a home has been reduced to a minimum, everything that could, has been removed to the digital sphere. The usual personal contact between the agent and the client, as well as signing the insurance policy on the signature screen or Android device, are not possible any more. In order to ensure business continuity and provide its clients with unhindered access to services, Triglav osiguranje decided to implement a solution for a remote signing of documents with SMS OTP technology – ITS Advanced Signature Service.

ITS Advanced Signature Service – it is an advanced e-signature service powered by Namirial’s eSignAnyWhere technology, bringing you all the benefits of remote signing, compliant with the eIDAS (EU 910/2014) standard and the security of the private cloud environment. To sign a contract, all you need is any device and an internet connection. The signatory is not required to register or log in to the system.

SMS OTP (One-Time Password) – a technological mechanism by which a single-use password is generated and sent to a registered mobile number to access a particular document. It is also known as a two-factor authentication, and its purpose is to ensure the authenticity of the user and prevent identity theft.

All implemented solutions have been purposefully introduced in order to speed up the work, reduce costs and improve operations in the day-to-day operations of Triglav osiguranje. Electronic signatures have also become a competitive advantage in the insurance market, and this solution is especially satisfied with colleagues in the Insurance Sales, where the process of concluding and deleting insurance policies has been accelerated to the maximum.
Since the first project of introducing the DMS system in Triglav osiguranje, the entire project team has proven its expertise and quality and has done a top job within the planned deadlines. I see ITS as a partner that will enable Triglav osiguranje and even the Triglav Group to follow digitalization trends and develop in the desired direction of new technologies.

In 6 steps to the insurance policy, anytime and anywhere

ITS Advanced Signature Service enables Triglav osiguranje sales agents to conclude insurance contracts with clients from their own home or office using remote electronic signature technology. In this way, they provided greater security for their employees and increased sales opportunities through a completely new sales channel.

  1. The agent creates an insurance policy, signs it electronically and the system automatically sends it to a predefined email user for a signature.
  2. The user opens the mail using a standard internet browser on a mobile phone, tablet or computer.
  3. The system sends the user a One-Time-Password which he enters in the document signing form.
  4. Confirms your electronic signature.
  5. After signing, the document is automatically archived in the DMS system and all processes of control and approval of policies continue.
  6. Upon completion of the signing process, the user receives a copy of the signed document to the email address.
